Plenary, mini-plenary, debate, panel, clinical case series, symposia, and abstract oral sessions involve oral presentations focused on specific topics and are designed to share information and stimulate discussion.
SETTING UP YOUR ONLINE SPEAKER PROFILE
Every speaker will receive an invitation to the conference speaker portal. Here you will be able to upload your headshot and bio, provide contact information for attendees to contact you, and upload your presentation. Ensure you complete the following speaker activities by their deadline.
- August 28, 2024: Update your biography
- August 28, 2024: Upload your photo
- August 28, 2024: Update your profile
- September 9, 2024: Upload presentation slides
- September 9, 2024: Upload any additional handouts
All speakers are required to register for the conference by September 2, 2024. For abstract oral presentations, if the presenting author is not registered by September 2, the Scientific Committee will mark your presentation as withdrawn unless a co-author attending the conference can present on behalf of the presenting author.
Invitations to access the speaker portal were emailed to speakers (plenary, symposia, mini-plenaries, clinical case series, and oral presentations) on August 12, 2024. If you did not receive an invitation, check your spam folder. If you are still unable to locate the invitation email, contact the 2024 STI Prevention Conference Planning Committee at conference@ashasexualhealth.org.

- PowerPoint presentation slides must be uploaded into the speaker portal by Monday, September 9, 2024. Use the unique link that was emailed to you for access to the speaker portal.

- In preparing slides, check with your institution for any PowerPoint slide requirements (e.g., templates, colors). An STI Prevention Conference PowerPoint template is available for presenters to use but is not required. Download the PowerPoint Template for the STI Prevention Conference

- Set up your slides with a widescreen 16:9 size ratio.

- Each presentation must include a disclosure slide. All presenters must disclose any financial or other associations with the manufacturers of commercial products, suppliers or commercial services, or commercial supporters as well as any use of unlabeled product(s) or products(s) under investigational use.

- Use the following file name format for your presentation: Presentation Date_Session Start Time_Presenter Last Name_version # (Example: Sept 17_8:00am_Smith_version1).

- The conference presentation system uses Microsoft PowerPoint; presenting speakers using Apple Keynote may want to preview their presentation slides on a PC in advance of their session as fonts and colors can change when moving from an Apple to PC system.

- Slides will be made available to attendees at the start of a presenter’s session on the conference app.

- If you are showing videos as part of your presentation, it is optimal to embed the video in your slides.

- A Speaker Ready Room will be open the duration of the conference for speakers to prepare and rehearse their presentations. Speakers may also upload new versions of their slides if changes have been made since submitting their presentation on Monday, September 9, 2024. The Speaker Ready Room is open during the following times in Room 201:

Speakers may use a flash drive to upload their presentation in the speaker ready room. If a speaker makes changes or uploads their presentation in the speaker ready room, the presentation must be uploaded four hours in advance of the talk.

THE DOS AND DONT’S OF SLIDE PRESENTATIONS
Deciding the Content of a Presentation
- Know the purpose of your talk (i.e., inform, persuade, inspire).
- Know your audience. Tailor your talk to your audience and understand your audience’s biases.
- Tell a story with a beginning, middle, and end.
- Make 1-3 major points for your entire talk (even a long talk!).
Writing the Text on a Presentation Slide
- Make your titles do work. Example:
Don’t write: STI Epidemiology
Do write: STIs Continued To Increase for the 7th Year - Use minimal text. Less is more! Consider the 6×6 rule which suggests no more than six lines or bullets per slide with each line or bullet having 6 words or less.
- Use plain language. Avoid acronyms and jargon unless the majority of viewers know them.
- Avoid excessive information.
- Keep font size to 24-point font or higher for all main text. Suggested Font sizes:
- Title: 32-44
- Sub-headings: 28-32 pts
- Body Text: 24-28 pts
- Figure labels: 18 pts (only allowable text that should be smaller than 24-point font)
Adding Tables, Figures, and Images
- Use high-quality images. Avoid pixelated images.
- Use appropriate charts/graphs for the type of data you are presenting.
- Pie charts are best for showing percentage breakdowns of a whole.
- Line charts are best for showing trends.
- Bar charts are best for comparing quantities.
- Tables are best for showing side-by-side comparisons of quantitative data.
- Label all figures, drawings, photos, charts, and graphs.
- Give credit to the original creator of an image or graphic.
Choosing Colors
- Create a color scheme of 3 to 5 colors for your presentation (photos and drawings don’t count).
- Avoid harsh colors (e.g., neon colors) or color combinations that are hard to read (e.g., red and green, red and black, light green and yellow, green and blue, purple and red).
- Use color and design to create a point of emphasis and a flow for the viewer’s eye to follow.
- Use color to evoke emotion that reinforces what your slide is teaching.
Practicing Your Presentation
- Plan and practice your talk to stay within your allotted time.
- Speak slowly and audibly.
- Remember: A talk that is too short is far better than a talk that is too long.
MAKING YOUR PRESENTATION ACCESSIBLE
Design your presentation to be accessible to all conference attendees by considering these recommendations:
- Color Contrast: To maximize readability, ensure there is sufficient color contrast between text and background colors. Use a color contrast checker such as WebAIM to check contrast between text and background color.
- Text Alternatives: For all meaningful images, develop descriptive text, known as alternative text or alt text for short, that screen readers can detect. The alt text should be concise and illustrative.
Note: Microsoft PowerPoint has a built-in accessibility checker that is located under the Review tab.
AVAILABLE AUDIO-VISUAL EQUIPMENT FOR PRESENTERS
Each session room will have the following audio-visual equipment available:
- A laptop computer with Microsoft PowerPoint
- A projection screen
- Sound equipment (e.g., microphone, speakers)
Presenters are not permitted to use their own computers or devices to run presentations. Session laptops are not connected to internet.
DAY OF YOUR PRESENTATION
- Arrive at your designated session room 15 minutes prior to the scheduled session to meet other presenting authors and your moderator(s) as well as to familiarize yourself with the room and where you will be seated.
- The computer in each session room will be preloaded with the session presentations. IT and audio-visual technicians will be available on-site for general assistance and technical difficulties.
- Moderators will strictly enforce the allotted presentation times. Review your official invite or acceptance email for your allotted presentation time.
